Moving in

Allocated room

An allocated block of halls of residence, an allocated room or date of moving in cannot be changed during the period of moving in, i.e. until the end of September. Moving to another room is possible from the beginning of October.

When and where

Information about a particular allocated hall of residence and room will be available at ISKAM https://iskam-web.vse.cz/ in the Reservation tab. You have to come to the dormitory on this day during office hours.

When you need to moving in on another day, for serious reasons, please contact the dormitory manager in advance by e-mail..

Accommodation contract

In the ISKAM system, you must have a signed accommodation contract (manual) and charge funds (manual) in the main account for the payment of rent and accommodation deposit.
We recommend reading the contents of the contract and general conditions before you sign it, as you will not have sufficient quiet time to read it thoroughly when moving in.

Residence card, keys, bedlinen, room deffects

After completing all move in tasks in the dormitory office, you will receive the room keys. In some halls of residence, you will receive also a key from the main entrance to the hall of residence. Bed linen is available in the room.

Assignment of the room

The takeover will be done by yourself, with no employee of the hall of residence present. As soon as you enter the room, check the room and its furnishings immediately for proper condition fit for use, and immediately report any defects in the ISKAM system.  You will be responsible for defects not recorded in system, you will breach the accommodation contract.

 


Moving to another room

Common Rules

  • The first week in October is the first permitted day of moving to another room.
  • A person interested in moving to another room must appear in person during office hours and prove his/her identity.
  • In case of exchange of the allocation with another student, both these students have to appear at the same time.
  • Each application for moving to another room will be decided individually and may be rejected.
  • Rooms may not be booked.
  • Information about free rooms will be provided only at personal visits.

A student may move until the 4th day of a calendar month inclusive (during office hours only). This is due to sending a direct debit order to the bank usually on the 5th day of a calendar month (the particular term of sending is published in the news on a monthly basis). Any later date of moving will be permitted only in exceptional cases upon agreement with the manager of the relevant hall of residence.

Moving from one hall of residence to another (applies to VSE halls of residence in Prague)

  • is the charge of the central accommodation office.
  • A student may move until the 4th day of a calendar month inclusive (during office hours only).
  • This is due to sending a direct debit order to the bank usually on the 5th day of a calendar month (the particular term of sending is published in the news on a monthly basis).
  • A student may move only if he/she has no debts, i.e. he/she has paid all outstanding amounts owed to VSE SUZ (residence fee, utilities, damages, late payment interest, if appropriate, etc.)

Moving out – physical eviction process from the dormitory

  1. Student will write the name, date of moving out, time for a check up and room number on the doors of cleaning service in the basement well in advance (write only one time). Checks by cleaning ladies will be done during workdays Monday – Friday from 7:00 AM till 10:30 AM.
  2. To avoid any problems that may arise during moving out, please check your debts in information system ISKAM. You have to pay all outstanding amounts for residence fee or services in cash or by credit card at the reception or at the office. Otherwise it is not possible to move out.
  3. It is necessary to clean up your room to have moving out running smoothly, especially:
    • The entire common areas of the cell must be cleaned at the departure of each individual student.
    • You will hand in the room and cell cleaning confirmation form and bed linen at the office upon departure
    • Length of whole check out depends on number of students. It can be 20 minutes, but also one hour.
    • All requirements is necessary to process in working hours!

Moving out procedure varies according to the day and time of departure

  1. Moving out during office hours (8 AM – 11.00 AM)
  2. Moving out in the afternoon or in the evening, but will no longer sleep in the dormitory
  3. Moving out outside of working days (e.g., weekends, Christmas holidays, public holidays…) and will still sleep in the dormitory

 

A. Moving out during office hours (8 AM – 11.00 AM)

  1. You must be in your clean room at the time of the registered cleaning check (wait for the cleaning lady – mostly more students are enrolled at the same time).
  2. With the confirmed moving out protocol, you will go to the office and submit:
    • bedding
    • room keys
    • blue chip card (only students other schools, graduates)
  3. After moving out will be confirmed in the ISKAM system, and  returning the deposit (to the account or payment card),  you can no longer return to the room.
    After that your deposit will be returned to your account by credit card (no charge or any additional fee) or via bank transfer refund (foreign bank transaction fee).  You have to fill in your bank account number in ISKAM.

Foreign transaction fee of CZK 500 will be deducted from your deposit.

You cannot enter your room any more. The rooms are locked up by emplyee of the dormitory after returning the keys.

B. Moving out in the afternoon or in the evening, but will no longer sleep in the dormitory

  1. You must be in your clean room at the time of the registered cleaning check (wait for the cleaning lady – mostly more students are enrolled at the same time).
  2. With the confirmed  moving out protocol, you will go to the office (in office hours) and submit:
    • bedding
    • blue chip card (only students other schools, graduates)
    • you will keep the room keys until departure and throw them in the box in the lobby on departure
  3. Close the windows, balcony doors and lock the room before leaving the room! Do not turn off  the heating (in the winter).
  4. The second check up by cleaning lady will be done after your departure and returning the keys at the reception next working day. If the room is clean and inventory put in order, the deposit will be returned via bank transfer refund. You have to fill in your bank account number in ISKAM. In case that the room is dirty or inventory is damaged, a potential cleaning and repairs will be charged from your deposit according to price list.

C. The accommodated person who leaves outside working days (e.g., weekends, Christmas holidays, public holidays…) and will still sleep in the dormitory

  1. The last working day before your departure, during office hours, you must take care of all moving outs requirements.
  2. You will register your room for cleaning check, and at the time of the cleaning check, you must be present in your tidy room (you must wait for the cleaning lady – usually more guests are registered at the same time)..
  3. You will leave the bed linen until the day of departure, when you leave it folded on the bed, where it will be picked up by the cleaning lady during the second check-up the next working day after departure.
    Return the keys with the cleaning protocol on the day of departure to the box in the lobby.
  4. Before leaving the room, close the windows, balcony doors, lock the room, do not turn off  the heating (in the winter).
  5. The second check up by cleaning lady will be done after your departure and returning the keys at the reception next working day. If the room is clean and inventory put in order, the deposit will be returned via bank transfer refund. You have to fill in your bank account number in ISKAM.
